The damage waiver is a mandatory protection plan for your event. It is designed to provide peace of mind by covering accidental damage and reasonable wear and tear that may occur to our equipment while in your possession. Please note that the waiver does not cover loss or damage caused by gross negligence, theft, or intentional misuse. More detailed information is included with our Terms and Agreements contract sent out with every order.

Reserving your equipment with Arium Event Rentals is a straightforward process designed to ensure your date and inventory are secured. To begin, you can browse our online catalog and send us an email with your event date, the items you are interested in, and the specific quantities needed. Our team will then provide you with a detailed, itemized quote tailored to your event. To officially reserve your items and lock in your date, we require a signed rental agreement and a Non-Refundable deposit of 25% for all orders $1500 and under and 50% for all orders over $1500. We recommend starting this process as early as possible, especially for popular items like our hexagon tents or for events during the busy graduation and wedding seasons. Once your deposit is received and the contract is signed, your inventory is officially taken off the market for your exclusive use.

Our refund policy allows you to add items to your order at any time, provided those items are available in our inventory. For removals and refunds, our policy is based on the timing of your request relative to your event date. You can remove items from your order up to 60 days prior to your event without incurring any fees. For requests made between 30 and 60 days from your event date, items may be removed, but a fee equaling 10 percent of the value of those specific items will be applied. If you choose to remove items 30 days or less from your event date, the items may be removed from the delivery, but no refund will be provided. Please note that the total value of items removed from an order cannot exceed the value of your initial deposit.

When you rent from Arium Event Rentals, you agree to return all equipment by the specific date and time outlined in your contract. If equipment is not returned on time, a late fee of 25 percent of the total order amount will be charged for each day the items are overdue. After a period of 4 days, any unreturned items will be considered lost or stolen, which may lead to further legal action or replacement charges.
Additionally, because we often have back-to-back bookings for our inventory, late returns can impact other customers. If a late return interferes with another scheduled rental, the renter will be responsible for extra fees to cover the inconvenience and the loss of revenue. It is important to ensure all equipment is returned according to the agreed terms to avoid these additional charges.

While Arium Event Rentals makes every effort to fulfill every reservation, there are rare instances where we may need to cancel an agreement potentially due to adverse weather conditions. In the event that Arium Event Rentals cancels your order for any reason, we will provide you with the choice between two options: a full refund of all payments made or a credit to be used for a future event date, provided the items are available on your new requested date.
If you choose a refund, the funds will be returned to your original payment method. For payments made via credit or debit card, the refund will typically be processed and applied to your account within 5 to 10 business days. Please be aware that Arium Event Rentals is not liable for any additional costs, secondary expenses, or damages that may result from the cancellation.

For circular setups, our 5ft round tables typically seat 6 guests comfortably, though 8 guests can be accommodated for a tighter fit. If you prefer rectangular options, our 6ft rectangular tables seat 6 to 8 guests, while our 8ft rectangular tables seat 8 to 10 guests depending on whether you utilize the ends of the table. For those seeking a more rustic or premium aesthetic, our 8ft farm tables also seat 8 to 10 guests and provide a wider surface for decor and family-style dining.

For our 20x20 high peak tents, you can comfortably fit approximately 40 guests for a sit-down dinner with tables or up to 65 guests for a cathedral-style ceremony seating arrangement. Our larger 20x40 high peak tents provide double the space, accommodating roughly 80 guests for a seated meal or up to 130 guests for a standing cocktail-style reception or ceremony. Our signature hexagon high peak tents offer a unique aesthetic and can accommodate approximately 40 to 50 guests for a seated dinner.

At Arium Event Rentals, a subfloor is typically required when the dance floor is being installed on uneven or soft surfaces, such as grass, gravel, or dirt. Without a subfloor, the individual panels of the dance floor can shift, separate, or sink into the ground, creating tripping hazards and potentially damaging the equipment.
If your event is being held on a flat, hard surface—such as a concrete patio, a paved parking lot, or an existing indoor hardwood floor—a subfloor is generally not necessary. However, for backyard weddings and outdoor celebrations in Boulder, Denver, Longmont, Greeley, Northglenn, and Westminster, the terrain is rarely perfectly level. In these cases, we provide a subfloor to bridge gaps in the landscape and provide a professional, "indoor-feel" dancing surface for your guests. Our team can assess your site during the planning phase to determine if a subfloor is required to ensure the safety and longevity of your setup.

Please note that setup and teardown are not included in the standard day rate pricing of the equipment. These services are available for an additional fee, which is calculated based on the size of your order and the complexity of your layout.
If you choose to add this service, our team will handle the heavy lifting and precise placement of your tables and chairs according to your floor plan, then return after your event to break everything down. This allows you to focus on your guests rather than the logistics of the furniture. For clients who prefer to handle the arrangement themselves, we also offer a standard delivery-only option where items are dropped off at a designated location.
